enrolment FAQ
How soon will I be offered a space?
When a space becomes available, the priority placement policy is followed. Space will be offered in the following order:
- employee’s children
- children aging out of current programs
- vulnerable children from the community
- children aging out of a younger program
- currently enrolled children requesting changes to their days/program
- next child on the waitlist eligible to take the space in chronological order
Will I be offered a space if my child is not old enough to take the space?
You will be offered a space if your child is within 2 months of being old enough to start attending. There are policies and licensing regulations that dictate start ages in different groups. These policies will be adhered to during the process of establishing who is eligible.
How long do I have to accept the offer of space?
You have 24 hours to let us know if you want the space or not.
What happens if I do not accept the space?
You may turn down an offer up to 2 times and keep your chronological order on the waitlist. After the 3rd offer, we will take you off the waitlist and invite you to reapply.
Can I take the space until I am ready to have my child attend?
We have a 2-month non-attendance policy. If you are not ready to start immediately, you can take the space so long as your child starts attending within 2 months.
Can I hold the space without paying for it?
No. We do not ‘hold’ spaces.
What if I pay the deposit and change my mind?
The deposit is non-refundable if you change your mind.
How long do I have to complete my enrolment?
If you pay your deposit and change your mind within 5 business days, you will only lose your deposit. If you do not withdraw your enrolment intentions by the 6th business day, you will be liable for all fees associated with one month’s enrolment. Despite having a waitlist, enrolment takes time and has administrative costs. After one week of waiting, we are unlikely to be able to enrol anyone else in the timeframe, so the fees will cover the cost incurred.
Can I choose which days I enrol my child?
Yes, with a few restrictions. You can only choose from what is available. If you need more or different days, you will be placed on a priority list to add or change days.
Additionally, we will require your enrolment to include a Monday or Friday when one of those days is available.
It is not our policy to offer one-day spaces as it is stressful for both the child and staff alike. There may be occasions that it is felt breaking this policy is in the best interest of all concerned, but this is at the discretion of the Executive Director.
We reserve the right to offer spaces in keeping with maximizing enrolment. For example, if you only want 4 days and we have a five-day space, we will not offer you four days. You can have either 5 days, or 3 days, leaving us a 2-day space to fill. This supports the cost of operations and ensuring we reach as many families on our waitlist as possible.
How do I communicate with the program staff regarding gradual entry or attendance?
Each program has its own email address. This will be shared with you upon arrival.
How do I get the door code?
The program staff will share this code with you.
What happens if I split with my child’s other parent/guardian?
It is in your child’s best interest that both parents cooperate and maintain a good ‘working relationship’. However, we recognize that this isn’t always possible. Where possible we will support split families by requesting that all parties be copied on email communications and splitting fees. If an amicable relationship cannot be established, the enrolling parent (the parent signing the registration form) will become our contact. If fees are unpaid, the person(s) paying the fees will be subject to our fee collection policy.
If my child is sick or we go on holiday do I still have to pay?
Yes. We practice continuous enrolment, so your space is held for your child’s return.
Do you offer drop in spaces?
Yes, to children who already attend the program. This supports families who do not have their current enrolment needs met, as well as offering the Society a small amount of additional income. As a non-profit, this income is allocated back into service provision and helps to keep fees at a competitive rate.
Can I take the summer off?
Your fees are still payable, but as long as your absence is no longer than 2 months you are free not to attend.
